What is the RO letter and what do I do with it?

What the letter proves, where to upload it, and what to check.

Your RO letter confirms that you're a participant in a program of the Recognized Organization SWAP Working Holidays. You'll upload it to the documents section of your work permit application.

When it arrives: We send RO letters by email on Fridays, after your nomination. Depending on your time zone, it may arrive in the afternoon.

Check it right away. Make sure the spelling of your first name, last name and date of birth are correct. Nominations are submitted in all caps, so you may see small formatting differences. Those don't matter, since the letter matches the all-caps name on your passport.

Starting your application

Keep us updated. We need to know when you submit your application, when you're approved and when you plan to enter Canada. Log in to your InterExchange account to enter these dates as they happen, or email us.

Need help? The 2026 application guidelines and our orientation playlist answer about 95% of frequently asked questions. Before you submit, you can also book an optional free 15-minute application review over screen-share. Contact us at workabroad@interexchange.org or (800) 597-3675 to set it up.

What happens next

A welcome message from SWAP: Within about 23 weeks you should hear from SWAP. It's a basic intro with information about their virtual orientation sessions, and you can start contacting them about jobs, housing and life in Canada.

Requests for more information: IRCC may ask you for more information after you submit. Follow their instructions, check your guidelines and reach out if you need support.

Approval: Approval comes as a Letter of Introduction (LOI), also called a "pre-approval" or "Port of Entry" letter. Some people get a decision in a day or two, while others wait 68 weeks. Let us know as soon as you get your LOI and we'll send you next steps for entering Canada.
